This privacy notice tells you what to expect when Heathrow Community Trust collects personal information about you when you make an application for funding.  Heathrow Community Trust is committed to protecting your personal information when you use or services.  Whenever you provide such information we are legally obliged to use your information in line with all applicable laws concerning the protection of personal data, including the General Data Protection Regulation (GDPR).

Personal information – we will ask you for information in order to provide you with the services requested, for example to send you information about our grants.  When you apply for a grant you will be asked to provide personal information within the application form.

We collect information about you in the following ways:

Information you give to us directly, for example when you:

  • Apply for a grant through our grant application process
  • Ask to be added to our mailing list
  • Request information from our team, for example enquiring about our grants
  • Take part in surveys or questionnaires
  • Apply to volunteer with us
  • Apply to work for us
  • Contact us or become involved with us in any other way not listed above

Information from third parties

We may also receive information about you from third parties if you have given them permission to share this information and indicated that you wish to support Heathrow Community Trust, for example, if you set up a fundraising page for us with Give as You Live Donate or enter an independently organised event like the London Marathon.

Depending on your settings or the privacy policies for social media and messaging services, we may access information from those accounts or services.

Heathrow Community Trust will use your personal data for a number of purposes including the following:

To review your application for funding
If funding is awarded, to administer your grant, during which you will be asked to submit further information reporting on the outcomes of your project
Other purposes

The lawful justification for collecting and using your personal data is that it is necessary for the performance of the Heathrow Community Trust grants programme and other activities of Heathrow Community Trust. Failure to provide mandatory data fields denoted by a ‘*’ will mean that we will not be able to process your funding application.

Your information will be handled and used by the following recipients in order to deliver Heathrow Community Trust’s activities:

Heathrow Community Trust CEO

Heathrow Community Trust trustees
Employees of Groundwork South who administer our grant programmes for us
Employees of Heathrow Airport Ltd

We will keep your information within Heathrow Community Trust and our third parties except where disclosure is required by law, for example to government bodies and law enforcement agencies.

Heathrow Community Trust holds its data on secure databases which are hosted in the UK or EU. Some data may be stored and or processed outside of the UK and EU via third parties.

Your information will be retained for a period of ten years from the date of your application for funding after which point it will be deleted. If we hold your information, you will not automatically receive our newsletters about future funding – you must request to be added to our mailing list. If you are no longer employed or associated with the organisation on whose behalf you applied for funding please let us know and we will delete your contact details.

Your information will be retained in a secure environment and access to it will be restricted according to the 'need to know' principle.

Under the General Data Protection Regulation, you have the right to:

Access your personal data by making a subject access request
Rectification, erasure or restriction of your information where this is justified
Object to the processing of your information where this is justified
Data portability
